How we use your personal information.

What we collect

When you request research, create a learning or readiness account, buy a service, join an organisation's readiness campaign or contact us, we collect the details you provide. These may include your name, work email, organisation, role, learning enrolments, payment and entitlement references, support correspondence and your stated area of interest.

For readiness interviews, we process microphone audio in real time but do not store the audio. With your consent, we retain the transcript, assessment answers, scores, work profile and evidence needed to prepare your private report and privacy-safe group analysis. Unclaimed interview records are scheduled to expire after 72 hours.

We also record the page where the request was made, the referring site and standard campaign tags in the URL. We use these details to understand which research and learning pathways are useful. We do not store query strings from referring pages.

How we use it

We use these details to deliver purchased and requested services, operate accounts and course access, create private readiness reports, produce privacy-thresholded organisation reporting, process payments and refunds, provide support, secure the services and improve our work. We do not sell your personal information.

Who can see readiness information

Your readiness report, scores and attributed transcript are private to you. An authorised campaign administrator can see participation status and privacy-safe aggregate patterns, but not an individual's scores, report or attributed transcript. Group reporting is suppressed until at least five completed interviews are in the selected view.

Your choices

You can unsubscribe from research updates at any time. You can request access, correction or deletion, withdraw an optional consent, or make a privacy complaint by emailing privacy@theai.institute. We will verify the request, investigate it and explain the outcome.

Storage and service providers

We use service providers to operate the platform, including OpenAI Sites and Cloudflare for the public website, Vercel for readiness application hosting, Supabase for authentication and data storage, OpenAI for voice and assessment processing, Stripe for payments, Resend for transactional email and Moodle for learning delivery. Providers may process information outside Australia where their services operate. We use contractual, access and security controls appropriate to the service and remain responsible for our handling of your information.

Retention and security

We retain personal information only while it is needed to provide the service, maintain an account, meet security and financial record obligations, resolve disputes or comply with law. You may request deletion of account and assessment data; some transaction records may need to be retained. We use restricted access, encryption in transit, provider security controls and service monitoring, but no online service can promise absolute security.
