How we use your personal information.

Who we are

The AI Institute is owned and operated by Bluebird Pty Ltd (“we”, “us”).

What we collect

When you request research, create a learning or readiness account, buy a service, join an organisation's readiness campaign or contact us, we collect the details you provide. These may include your name, work email, organisation, role, learning enrolments, payment and entitlement references, support correspondence and your stated area of interest.

For readiness interviews, we process microphone audio in real time but do not store the audio. With your consent, we retain the transcript, assessment answers, scores, work profile and evidence needed to prepare your private report and privacy-safe group analysis. Unclaimed interview records are scheduled to expire after 72 hours.

We also record the page where the request was made, the referring site and standard campaign tags in the URL. We use these details to understand which research and learning pathways are useful. We do not store query strings from referring pages.

When an article reaches its registration point, we record a privacy-limited gate-view event without your name or email. If you register to continue reading, we collect your name and work email and assign a random registration reference to this device for up to 180 days. We record article access and reading-depth milestones against that reference so we can understand which research is useful. Joining the Daily Brief is a separate, optional choice.

Your starting questionnaire

For the individual starting snapshot, we collect your seven multiple-choice answers and email address to prepare your personalised guidance and deliver a private report link. The questionnaire does not use your microphone. We retain the snapshot record for up to 180 days; the private link expires after 180 days. We also keep limited security records to prevent repeated or abusive submissions.

Three practical follow-up emails are optional. We record your choice and the delivery information needed to honour it. You can unsubscribe using the link in those messages. New starting-report requests made through the form that includes The Daily Brief also subscribe you to that newsletter. We record the notice shown and when you requested the report. You can unsubscribe from any newsletter email. Earlier report requests are not added retrospectively, and existing unsubscribes are respected. Choosing a conversation with Maya shares your starting answers with the interviewer as context; the interview privacy terms above then apply.

With measurement consent, we record questionnaire progress and snapshot views for up to 90 days. These events contain step and session references, not your answers or email address. Authorised Institute staff can view starting-snapshot leads and their stated interests to support the requested service. Private snapshot links are excluded from advertising measurement.

How we use it

We use these details to deliver purchased and requested services, operate accounts and course access, create private readiness reports, produce privacy-thresholded organisation reporting, process payments and refunds, provide support, secure the services and improve our work. We do not sell your personal information.

Analytics and advertising measurement

We record privacy-limited events when someone opens, starts or completes an AI readiness assessment, together with the landing page and standard campaign or advertising click tags. This lets us measure whether a campaign produces useful assessment participation. These operational events do not contain interview answers, report scores, names or email addresses.

With your permission, we also use Google Analytics and Google Ads measurement. Google may set or read measurement cookies and receive device, browser, page and campaign information under your consent choice. You can decline this measurement and continue using essential site and assessment functions.

The OpenAI advertising pixel records page visits, assessment call acceptance and successful assessment completion in the background. It uses browser and advertising click identifiers to match participation to ads. Automatic advanced matching can detect supported contact details entered into website forms and securely hash them in your browser before sharing the hashes with OpenAI. Our assessment event payloads exclude interview answers, transcripts, scores and private report links. We opt these events out of future user-level advertising personalisation and respect saved opt-outs and Global Privacy Control. You can turn OpenAI advertising measurement off here without affecting your assessment or report delivery.

We also use the Meta pixel to measure visits from Facebook and Instagram ads, assessment starts and successful assessment completions. Meta receives browser, device, page and advertising click information and may set or read advertising cookies. Automatic form matching and automatic event collection are disabled in our integration. We do not include names, email addresses, interview answers, transcripts, scores or private report links in our Meta event payloads. Advertising pixels are excluded from private account, team-management and report-link pages. The setting below controls OpenAI and Meta advertising measurement for this browser across the public and readiness sites. Saved opt-outs and Global Privacy Control are respected.

Who can see readiness information

Your readiness report, scores and attributed transcript are private to you. An authorised campaign administrator can see participation status and privacy-safe aggregate patterns, but not an individual's scores, report or attributed transcript. Group reporting is suppressed until at least five completed interviews are in the selected view.

Your choices

You can unsubscribe from research updates at any time. You can request access, correction or deletion, withdraw an optional consent, or make a privacy complaint by emailing privacy@theai.institute. We will verify the request, investigate it and explain the outcome.

Storage and service providers

We use service providers to operate the platform, including OpenAI Sites and Cloudflare for the public website, Vercel for readiness application hosting, Supabase for authentication and data storage, OpenAI for voice and assessment processing, Stripe for payments, Resend for transactional email and Moodle for learning delivery. Providers may process information internationally. We use contractual, access and security controls appropriate to the service and remain responsible for our handling of your information.

Retention and security

We retain personal information only while it is needed to provide the service, maintain an account, meet security and financial record obligations, resolve disputes or comply with law. You may request deletion of account and assessment data; some transaction records may need to be retained. We use restricted access, encryption in transit, provider security controls and service monitoring, but no online service can promise absolute security.
